(registered seat: 1113 Budapest, Daróczi út 1-3., Hungary; company registration number: 01-10-142443) (“Inteq”, “we”, “us”, or “our”) describes how and why Inteq may collect, store, use, and/or share (“process”) your personal data when you use our website, contact us, or use our services.

This Privacy Policy applies to our website and, where applicable, to our SaaS services. The Cookie Policy provides detailed information about cookies and similar technologies used on our website.

Where this Privacy Policy refers to the “Services”, this includes, as applicable, our website, Inteq’s cloud-based software applications provided as SaaS (the “Application(s)” or “Platform”), related support, professional services, and communications.

Reading this Privacy Policy will help you understand your privacy rights and choices. If you do not agree with our policies and practices, please refrain from using our website or Services.

1. Definitions

“Personal Data” means any information relating to an identified or identifiable natural person.

“Customer” means the corporate customer that enters into an agreement with Inteq for use of the Services.

“User” means an individual authorized by the Customer to use the Services, such as employees or contractors.

“Customer Data” means Personal Data submitted to, stored in, processed by, or generated through the Application by or on behalf of the Customer and its Users, such as documents, images, extracted data, calendar-related data, and workflow data.

2. Personal Data We Collect

The categories of Personal Data we collect depend on how you interact with us.

2.1. Personal Data You Provide

Account and customer relationship data may include:

  • name, work email, work phone number;
  • company name, role/title, department;
  • user credentials, authentication details, and hashed passwords where applicable;
  • account settings and preferences.

Support and communications data may include:

  • the content of support tickets, emails, or other communications;
  • logs or files you provide to troubleshoot issues, which may contain Personal Data.

Billing and transaction data may include:

  • invoicing details, such as billing address, VAT number, and purchase order references;
  • payment status and transaction history.

2.2. Customer Data Processed in the Application

Depending on the Customer’s configuration and use, Customer Data may include:

  • documents and digital images uploaded to the Application;
  • structured data extracted from uploaded images or documents;
  • appointment scheduling details and calendar-related data, such as meeting times and participants’ work contact details, where calendar integrations are enabled;
  • internal workflow and operational data entered by Users;
  • audit logs and activity data within the Application, such as user actions and timestamps.

Important: Customer Data may include Personal Data relating to the Customer’s employees, contractors, clients, patients, end-customers, or other individuals, depending on the Customer’s use case. Inteq does not require Customers to upload special category data; however, Customers control what data they upload and process.

2.3. Information Collected Automatically

Some information, such as your Internet Protocol (IP) address and/or browser and device characteristics, is collected automatically when you visit, use, or navigate the Services.

This information may include:

  • IP address;
  • browser and device characteristics;
  • operating system;
  • language preferences;
  • referring URLs;
  • device name;
  • country or approximate location;
  • information about how and when you use our website or Services;
  • other technical information.

This information is primarily needed to maintain the security and operation of our website and Services, and for our internal analytics and reporting purposes.

2.4. Website Analytics, Cookies, and Similar Technologies

When you visit our website, we may use analytics tools such as Google Analytics and Matomo to understand how visitors use our website, improve its performance, and measure the effectiveness of our content.

3. Purposes and Legal Bases

Where Inteq acts as controller, we process Personal Data for the purposes and legal bases below.

3.1. To Provide and Administer the Services

Legal basis: contract.

  • creating and managing accounts;
  • authenticating Users and enabling access;
  • providing core features, support, and service communications.

3.2. To Maintain Security, Prevent Fraud and Misuse

Legal basis: legitimate interests and/or legal obligations.

  • monitoring suspicious activity, intrusion attempts, and abuse;
  • maintaining logs necessary to ensure the confidentiality, integrity, and availability of systems.

3.3. To Comply With Legal Obligations and Enforce Rights

Legal basis: legal obligations and/or legitimate interests.

  • accounting and tax obligations;
  • responding to lawful requests by authorities;
  • defending legal claims and enforcing our agreements.

3.4. To Manage Customer Relationships, Communications, and Marketing

Legal basis: legitimate interests and/or consent.

  • responding to inquiries and requests;
  • sending service announcements, product updates, and administrative messages;
  • using analytics and marketing cookies where consent is required and obtained.

3.5. User Activity Information

We will not use information about user activities together with any information that would result in the user being identified without their consent.

3.6. Use of Identifiable Information for Legal Purposes

We may use user-identifiable information to investigate and help prevent potentially unlawful activity or activity that threatens the network or otherwise violates the end user licence agreement for the Services.

4. Processing Customer Data

When Inteq acts as processor for Customer Data, we process Customer Data to:

  • provide, operate, and support the Application, including hosting and backups;
  • implement Customer-configured features, such as document/image processing and calendar scheduling workflows;
  • maintain security, integrity, and availability of the Services;
  • comply with lawful instructions and applicable legal requirements.

The Customer determines:

  • what Customer Data is processed;
  • the purposes of processing;
  • retention periods and deletion instructions, within the capabilities of the Services.

5. Anonymised and Aggregated Analytics

Inteq may generate anonymised and aggregated analytics derived from usage of the Application and/or Service telemetry to:

  • improve product performance and reliability;
  • enhance support and resource planning;
  • conduct security and data integrity reviews;
  • develop new products and features;
  • produce benchmarking insights;
  • conduct marketing at an aggregated level.

Inteq designs the anonymisation and aggregation process to prevent identification of individual natural persons or individual customers. Inteq does not attempt to re-identify anonymised data unless required by law or strictly necessary to validate the effectiveness of anonymisation methods.

6. Sharing and Disclosure of Personal Data

We may share Personal Data as follows.

6.1. Service Providers and Sub-processors

We use trusted third parties to provide infrastructure and related services, such as hosting, cloud services, email delivery, customer support tooling, monitoring, and security. These providers may process Personal Data on our behalf under contractual obligations to protect it and use it only for the purposes of providing services to us.

Key infrastructure: The Application is hosted on professional cloud hosting infrastructure and/or IBM Cloud, or other cloud infrastructure as specified in the Customer contract.

6.2. Website Third-party Services

Our website may include embedded content, social media features, analytics tools, fonts, or similar services from third-party providers, such as LinkedIn, Google Analytics, Google Fonts, and Matomo.

These providers may collect information about your interaction with the website or embedded content and may place cookies or similar technologies, subject to your consent where required. For more details, please see our Cookie Policy and the privacy notices of the relevant third-party providers.

6.3. Affiliates

We may share Personal Data with our affiliates for internal administration, support, and business operations consistent with this Privacy Policy.

6.4. Corporate Transactions

If Inteq is involved in a merger, acquisition, reorganization, or sale of assets, Personal Data may be disclosed as part of due diligence and transferred as part of that transaction, subject to appropriate protections.

6.5. Legal and Compliance

We may disclose Personal Data where required by law or where we believe disclosure is necessary to:

  • comply with legal process;
  • protect the rights, safety, and security of Inteq, Customers, Users, or others;
  • investigate fraud or security incidents.

6.6. With Your Consent or on Your Instruction

We may share Personal Data with third parties where you consent or where the Customer instructs us, such as when enabling an integration.

7. International Data Transfers

Inteq primarily processes Customer Data in the EEA region. However, our service providers, including cloud, analytics, support, font, or social media providers, may process Personal Data in other jurisdictions.

For website visitors, certain third-party providers, such as analytics, font, or social media providers, may process Personal Data outside the EEA. Where such transfers occur, we rely on appropriate safeguards as required by applicable data protection laws.

Where Personal Data is transferred outside the European Economic Area, we implement appropriate safeguards, such as:

  • the European Commission’s Standard Contractual Clauses;
  • additional technical and organisational safeguards, where necessary.

8. Data Retention

8.1. Controller Data

Typical retention periods may include:

  • account administration and support communications: for the duration of the relationship and a reasonable period thereafter;
  • billing and tax records: as required by applicable accounting and tax laws;
  • security logs: for a limited period necessary for security monitoring and incident investigation;
  • website analytics data: in accordance with the applicable analytics tool settings and our Cookie Policy.

8.2. Customer Data

Customer Data is retained in accordance with:

  • the Customer’s configuration and instructions;
  • the applicable contract, including deletion upon termination, subject to legal retention requirements and backup lifecycle constraints.

Upon termination, Inteq will delete Customer Data within a commercially reasonable timeframe, unless retention is required by law or for evidentiary purposes.

9. Data Processing Principles

All data, including personally identifiable information shared by users, shall be:

  • processed fairly, lawfully, and securely;
  • processed per the purpose for which it is collected;
  • maintained up-to-date and accurate as necessary;
  • retained for no longer than necessary for the purpose it is collected.

10. Your Rights With Respect to Your Personal Data

You have the following rights with respect to your Personal Data:

  • right to be informed whether or not we are processing your Personal Data;
  • right to access your Personal Data;
  • right to correct inaccuracies in your Personal Data;
  • right to request deletion of your Personal Data;
  • right to restrict how we process your Personal Data;
  • right to obtain a copy of the Personal Data you previously shared with us;
  • right to transfer your Personal Data to a third party, also known as the right to data portability;
  • right to lodge a complaint with a supervisory authority.

10.1. Verification Process

Inteq may request that you provide additional information reasonably necessary to verify you and your request.

10.2. Requests

Upon receiving your request, Inteq will respond without undue delay and in any event within one month of receipt. Where necessary, taking into account the complexity and number of requests, this period may be extended by two further months. Inteq will inform you of any such extension within one month of receipt of the request, together with the reasons for the delay.

10.3. Right to Appeal

If Inteq declines to take action regarding your request, Inteq will notify you of its decision and reasoning. If you wish to appeal our decision, please contact us using the contact details below.

10.4. Reviewing, Updating, or Deleting Data

You have the right to request access to, review, update, or delete your Personal Data. If you ask us to delete your Personal Data, we will respect your request and delete your Personal Data, subject to certain exceptions provided by law, such as compliance with legal obligations or processing required to protect against illegal activities.

10.5. Withdrawing Your Consent

You have the right to withdraw your consent for us to process your Personal Data at any time. If we rely on your consent for any specific processing activities, you may withdraw that consent. Once we receive your request, we will stop the processing of your Personal Data that relies on consent.

Withdrawing consent will not affect the lawfulness of any processing carried out before your withdrawal. Additionally, withdrawing your consent may limit your access to the Services or certain features, as some processing activities are necessary for providing our Services.

10.6. Account Information

If you would at any time like to review or change the information in your account or terminate your account, you can contact us. Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. However, we may retain some information in our files to prevent fraud, troubleshoot problems, assist with investigations, enforce our legal terms and/or comply with applicable legal requirements.

11. Security

We implement commercially reasonable technical, administrative, and organizational measures designed to protect Personal Data from loss, misuse, and unauthorized access, disclosure, alteration, or destruction. However, no system is ever fully secure or error free. Therefore, you should take special care in deciding what information you provide to the Services. In addition, we are not responsible for circumvention of any privacy settings or security measures contained on the Service, or third-party websites.

12. Dispute Resolution and Legal Remedies

12.1. Initiation of Court Proceedings

You may bring an action before a court against the data controller if, in your assessment, the data controller processes your personal data in violation of the provisions set out in applicable legislation or in a binding legal act of the European Union relating to the processing of personal data.

12.2. Initiation of Administrative Proceedings

In Hungary, in connection with the processing of your personal data, you may submit a complaint with the National Authority for Data Protection and Freedom of Information (address: 1055 Budapest, Falk Miksa utca 9–11; postal address: 1363 Budapest, P.O. If you are located in the EEA or UK and you believe we are unlawfully processing your Personal Data, you also have the right to complain to your Member State data protection authority or UK data protection authority.

13. Legal Basis of This Privacy Policy

The principal legislation governing the data processing activities set out in this Privacy Policy are as follows:

  • Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC, also known as the General Data Protection Regulation or GDPR;
  • Hungarian Act CXII of 2011 on Informational Self-Determination and Freedom of Information, also known as Infotv.

14. Automated Processing

The Services may include automated processing features, such as extracting structured data from images/documents and workflow automation for scheduling. The Customer controls whether these features are used and what content is submitted.

Inteq does not use these features to make automated decisions producing legal or similarly significant effects about individuals.

15. Minors

The Services are intended for use by individuals 18 years of age or older. Inteq does not knowingly collect Personal Data from individuals under 18. If we learn that Personal Data of a minor has been collected, we will take steps to delete it as appropriate. If you become aware of any data we may have collected from children under age 18, please contact us.

16. Validity of This Privacy Policy

This Privacy Policy is effective as of the revised date and will remain in effect unless otherwise specified.

17. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Where required, we will provide notice, for example via IBM Cloud, our website, within the Application, or by email, and indicate the effective date of the updated version.
